I run purchasing for a 150-person manufacturing company. In any given year I manage somewhere between 60 and 80 orders and about $300,000 in external spend. I am not an engineer. When I took over this job in 2020, I treated a purchase order like a transaction. Compare price. Send PO. Wait for arrival. After a few expensive examples, I changed my opinion. Prevention is not a slow, annoying extra step. Prevention is the fastest way I know to avoid rework, downtime, and a very ugly conversation with operations.

Only one of them is good for your specific mix, and you will not know which one until you check.
The Objection I Keep Hearing: “You Can’t Check Everything”
I understand. In real purchasing, there are deadlines. I have had two hours to decide because the CEO wanted a decision before budget close. Normally I want multiple quotes and a checklist, but there was no time. I chose our current supplier because I trusted them from previous orders. The decision worked out, but I still think I got lucky. In hindsight, I should have pushed back on the deadline. But with budget closing, I made the best call I could with incomplete information.
That near miss taught me something useful: the goal is not a hundred-point checklist for every box of toner. The goal is three questions before anything expensive: What breaks first in normal use? How fast can we get the part that breaks? And who do I call when the machine says it’s ready but is not cutting correctly?
Some people think preventive checking is a way to delay a decision. I think of it as a way to make a decision that still makes sense in six months. It is not about being careful. It is about being intentional.
Bottom Line: Verify Now or Pay Later
I would tell the 2020 version of myself: stop treating a purchase order as the finish line. A PO is the start. The real job is making sure the machine, consumables, and support system all line up before the money leaves the building.
I don’t need every purchase to be perfect. I still make mistakes. But I am not going back to the version of me that believed a lower quote plus fast shipping was enough. Whether we’re talking about a thermal dynamics welder, an engravers machine, a machine torch, or a die cut machine, the math is the same: one hour of verification protects hundreds of hours of operation. Five minutes saved at the front end always shows up later as five days of correction.
